But I think we can all agree that paper <a href=\"https:\/\/toggl.com\/track\/timesheet-app\/\">timesheets<\/a> suck for doing that.<\/p>\n<p class=\"p1\" style=\"text-align: justify;\"><!--more--><\/p>\n<p class=\"p1\" style=\"text-align: justify;\"><span class=\"s1\">I have a strong aversion to spreadsheets and while my work requires their use to some extent, I\u2019ve become rather adept at avoiding them. That\u2019s mostly because I don\u2019t like unnecessary bureaucracy.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-8422 aligncenter\" src=\"https:\/\/toggl.com\/blog\/wp-content\/uploads\/2015\/03\/why-timesheets-suck-toggl-blog.png\" alt=\"why timesheets suck\" width=\"591\" height=\"369\" \/><\/p>\n<p class=\"p1\" style=\"text-align: justify;\"><span class=\"s1\">That is to say, <strong>I don\u2019t believe in counting steps when running toward the finish line.<\/strong><\/span><\/p>\n<p class=\"p1\" style=\"text-align: justify;\"><em><span class=\"s1\">Unless something does the counting for me.<\/span><\/em><\/p>\n<p class=\"p1\" style=\"text-align: justify;\"><span class=\"s1\">And this, I think, is the difference between using a timesheet and using <a class=\"wpil_keyword_link\" title=\"time tracking\" href=\"https:\/\/toggl.com\/\" data-wpil-keyword-link=\"linked\">time tracking<\/a>. The former is hugely unproductive for three big reasons, the first one being the fact that:<\/span><\/p>\n<h1 class=\"p1\" style=\"text-align: left;\"><span class=\"s1\"><b>1.\u00a0Timesheets are inaccurate (and full of lies)<\/b><\/span><\/h1>\n<h5 class=\"p2\" style=\"text-align: justify;\">Why timesheets suck<\/h5>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">Timesheets are not accurate reflections of a workday. This is because <a title=\"Toggl Blog - Why the Brain Sucks at Understanding Time\" href=\"https:\/\/toggl.com\/blog\/our-perception-of-work-time-is-wrong\" target=\"_blank\" rel=\"noopener noreferrer\"><strong>the human brain isn\u2019t all that good with understanding time<\/strong><\/a>. Research has shown that <a title=\"Buffer Blog - The Science of Time Perception\" href=\"https:\/\/buffer.com\/resources\/the-science-of-time-perception-how-to-make-your-days-longer\/\" target=\"_blank\" rel=\"noopener noreferrer\">our perception of time is highly subjective<\/a>.\u00a0<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-8016 aligncenter\" src=\"https:\/\/toggl.com\/blog\/wp-content\/uploads\/2015\/02\/how-human-brain-perceives-work-time-comic-toggl-blog.png\" alt=\"How humans perceive time\" width=\"800\" height=\"865\" \/><\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">Guessing how long one task has taken in the past (or how long another one might in the future) is often about as accurate as Ray Charles at a long distance sniper range.<\/span><\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">When you\u2019re filling in your <a class=\"wpil_keyword_link\" title=\"timesheet\" href=\"https:\/\/toggl.com\/track\/timesheet-app\/\" data-wpil-keyword-link=\"linked\">timesheet<\/a> at the end of a workday, chances are <strong>you won\u2019t remember how much time exactly you spent on specific activities<\/strong>.\u00a0<\/span>For example, <strong><a title=\"Huffington Post - Why Time Seems to Slow Down When We're Bored\" href=\"https:\/\/www.huffpost.com\/entry\/self-entitlement-_b_1004925\" target=\"_blank\" rel=\"noopener noreferrer\">our brains tend to perceive boring tasks as having taken more time<\/a><\/strong>.\u00a0By contrast, time seems to pass quicker when we\u2019re having fun.<\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">Consequently, timesheets don\u2019t work because they\u00a0tell you lies about how you work.<\/span><\/p>\n<h5 class=\"p2\" style=\"text-align: justify;\"><strong>So, how can a timekeeping app\u00a0help?<\/strong><\/h5>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">In short \u2013 chips don\u2019t lie.<\/span><\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">A timekeeping app\u00a0can track your time spent on tasks for you. Since timers don\u2019t lie, you\u2019ll get an <strong>accurate overview of not just time spent on work, but also time spent on breaks<\/strong>, lunch and \u00a0\u2013 if you insist on being super specific \u2013 toilet breaks.<\/span><\/p>\n<p class=\"p2\" style=\"text-align: justify;\">And being specific is important \u2013 time tracking only makes sense if it reflects the reality of time spent. Yes, you need a bit of time for the tracking habit to form, but it\u2019s still a lot less work than filling in a <a class=\"wpil_keyword_link\" title=\"timesheet\" href=\"https:\/\/toggl.com\/track\/timesheet-templates\/\" data-wpil-keyword-link=\"linked\">timesheet<\/a>.<\/p>\n<p class=\"p2\" style=\"text-align: justify;\">By the way, this takes us to problem number two with timesheets, namely that\u2026<\/p>\n<h1 class=\"p1\" style=\"text-align: left;\"><span class=\"s1\"><b>2.\u00a0Filling in Timesheets wastes time and energy<\/b><\/span><\/h1>\n<h5 class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\"><b>Why timesheets suck<\/b><\/span><\/h5>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">Filling in timesheets takes up an unreasonable amount of time. This is somewhat ironic, given that timesheets are supposed to help you manage your time <em>better<\/em>. But instead, you\u2019ll have to spend precious time on filling in your timesheet. <\/span><\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">To make matters worse, someone else has to go through the logs later.\u00a0<\/span>Organising employee timesheets into a system too becomes a massive time sink.<\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">Also, <strong>not only does writing down\u00a0a log of your work waste time, it also wastes precious energy<\/strong>.<\/span><\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">Remember when you had so much fun filling in a timesheet, and felt so rested after doing it?\u00a0<\/span><\/p>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">Yeah,\u00a0<em>exactly<\/em>.<\/span><\/p>\n<h5 class=\"p2\" style=\"text-align: justify;\"><strong>Right, so how do I track time without wasting time?<\/strong><\/h5>\n<p class=\"p2\" style=\"text-align: justify;\"><span class=\"s1\">The good thing about a timekeeping app\u00a0is that it does things for you. It runs in the background, grinding the numbers and generating reports in the process.<\/span><\/p>\n<p class=\"p2\" style=\"text-align: justify;\">Of course,\u00a0you still need to push a few buttons. I\u2019ve argued before, that it is actually very important for the human user to acknowledge and interact with a time tracking app. A machine can\u2019t change us if we don\u2019t want to listen to it (at least, until the robot uprising of 2020).<\/p>\n<p class=\"p2\" style=\"text-align: justify;\">Also, clicking \u201cstart\u201d and \u201cstop\u201d every now and then <strong>helps you stay focused\u00a0by forcing you to actively think about your time usage.<\/strong> This works wonders for people who are prone to multitasking and veering off course.<\/p>\n<h1 class=\"p2\" style=\"text-align: left;\"><b>3. Success is measured in work done, not time spent<\/b><\/h1>\n<p style=\"text-align: justify;\">The short point is \u2013 <strong>don\u2019t fetishise time.\u00a0<\/strong><\/p>\n<p style=\"text-align: justify;\">You don\u2019t go to work to be at work \u2013<strong> you go there to get things done.<\/strong><\/p>\n<p style=\"text-align: justify;\">There is no point in getting daily\u00a0confirmations of staff\u00a0occupying their desks for\u00a0a satisfactory amount of time, or for work\u00a0time having been kept below <a href=\"http:\/\/sidewaysthoughts.com\/blog\/2012\/08\/read-this-if-you-do-timesheets-seven-strategies-to-get-the-blue-bar-under-the-orange-line\/\" target=\"_blank\" rel=\"noopener noreferrer\">an arbitrary threshold<\/a>.\u00a0Especially if the data\u00a0you get is wrong.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-7874 aligncenter\" src=\"https:\/\/toggl.com\/blog\/wp-content\/uploads\/2015\/02\/blog-post-heidi.jpg\" alt=\"\" width=\"600\" height=\"400\" \/><\/p>\n<p style=\"text-align: justify;\">Nobody sits down at 9\u00a0AM and works literally non-stop on-task (lunch break excluded) till 5 PM.\u00a0We take breaks (or at least, we really, really\u00a0should), and we daydream (which is <a title=\"Daydreaming helps Productivity - CNN\" href=\"https:\/\/edition.cnn.com\/2014\/05\/16\/opinion\/schulte-daydreaming-productivity\/\" target=\"_blank\" rel=\"noopener noreferrer\">important for productivity<\/a>\u00a0too). A lot of stuff happens between the work.<\/p>\n<p style=\"text-align: justify;\">There\u2019s a name for people that claim otherwise.<\/p>\n<p style=\"text-align: justify;\">But I\u00a0won\u2019t say it here.<\/p>\n<p style=\"text-align: justify;\">Though it rhymes with \u201cpants on fire\u201d.<\/p>\n<h5 style=\"text-align: justify;\"><strong>So what\u2019s the point of time tracking, again?<\/strong><\/h5>\n<p style=\"text-align: justify;\">Let\u2019s leave aside the obvious reason \u2013\u00a0the\u00a0rather common need to bill clients based on hours.\u00a0Other than this very practical consideration, <strong>the point is to understand the time cost of things.<\/strong><\/p>\n<p style=\"text-align: justify;\">It\u2019s not about creating\u00a0work hours,<strong> it\u2019s\u00a0about learning to\u00a0be smarter with the hours you\u2019ve got.<\/strong><\/p>\n<p style=\"text-align: justify;\">Do you know how much time you waste on multitasking every week? Use the timer\u00a0to find out (and expect to be rather shocked). You might find out that while you clock in the required eight hours at the office every day,\u00a0you spend half of that time trying to juggle way too many things at once.<\/p>\n<p style=\"text-align: justify;\">With that in mind, <strong>what is the benefit of a <a href=\"https:\/\/toggl.com\/blog\/best-timesheet-apps\">timesheet app<\/a> telling you you\u2019ve worked for eight hours today?<\/strong><\/p>\n<p style=\"text-align: justify;\">None, really. But there is a benefit in looking at the smaller chunks.<\/p>\n<p style=\"text-align: justify;\">Tracking the individual parts of your day, you might be shocked to find out that a monumentally boring task of what you think amounts to\u00a0epic proportions turns out to be only a minor time sink \u2013 if only you sat down and dealt with it in one go.<\/p>\n<p style=\"text-align: justify;\">Of course, you musn\u2019t get too obsessed and let time\u00a0tracking <a title=\"Inc - The Perils of Time Tracking\" href=\"https:\/\/www.fastcompany.com\/3041278\/the-perils-of-time-tracking\" target=\"_blank\" rel=\"noopener noreferrer\">turn into a second job<\/a>. But time spent on\u00a0clicking on a timer every now and then is minuscule when compared to time wasted on inaccurate reporting, poor estimates and bad scheduling.<\/p>\n<p style=\"text-align: justify;\">And yeah, replanting rainforests takes time too.<\/p>\n<p style=\"text-align: justify;\">Save the trees.<\/p>\n<p style=\"text-align: justify;\"><em><strong>Know anyone still using pen and paper?
