The content team is working on the copy while the design team is collaborating with the developers while the SEO team identifies target keywords\u2014all at the exact same time.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Is your head spinning? Being the one in charge of a project with this many moving parts can feel a lot like juggling\u2014with a blindfold on and one hand tied behind your back.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">But, here\u2019s the good news: There\u2019s something you can do to get everyone\u2019s expectations aligned right off the bat and ensure that your project gets started right. What\u2019s the secret to success? A project kickoff meeting. <\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Why Are Kickoff Meetings Important?<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">A kickoff meeting is exactly what it sounds like\u2014it\u2019s the launching point of the project. It\u2019s what starts the whole snowball into motion.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Your kickoff meeting is your chance for you to gather all key players for your project together at one time and get on the same page about what the project is, why it\u2019s happening, how the work will be done, what roles are involved, and when it needs to be accomplished by. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">\u201cThe most useful kickoff meetings are designed specifically to orient a new project team to the business reasons for the project, and jumpstart the team\u2019s work with a common understanding of goals and initial steps,\u201d explains a <\/span><a href=\"https:\/\/www.projectconnections.com\/knowhow\/burning-questions\/new\/why-have-project-kickoff-meeting.html\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">post for ProjectConnections<\/span><\/a><span style=\"font-weight: 400;\">. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Put simply, starting by ensuring that all of your expectations are in alignment makes it that much easier to methodically tackle the entire project. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">A successful kickoff meeting means that nobody feels left in the dark, and everybody is in the loop on who\u2019s doing what\u2014which saves you plenty of headaches and roadblocks once the project is actually underway.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">7 Steps for a Successful Kickoff Meeting<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Despite the fact that kickoff meetings are incredibly important, they don\u2019t always work according to plan\u2014or happen at all. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Either organizations write them off as something that isn\u2019t necessary or only slows down project progress, or they host poorly-managed meetings that waste time or only end up adding to team member confusion.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Needless to say, you don\u2019t reap the benefits of a project kickoff meeting unless it\u2019s well-planned and well-executed.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">How do you make sure that happens? Here are seven key steps to host a totally kickass project kickoff meeting. <\/span><\/p>\n<h3><span style=\"font-weight: 400;\">1. Create an Agenda (and Stick to it)<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Much like a <\/span><span style=\"font-weight: 400;\">creative brief<\/span><span style=\"font-weight: 400;\"> helps to steer the direction of creative work, an agenda is important to keep any meeting on track\u2014and that\u2019s especially true for a project kickoff meeting. Ahead of the meeting, create a simple agenda and share it with all meeting attendees. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Because the kickoff meeting is your chance to get everybody together and on the same page about the project, it\u2019s tempting to dive into all sorts of details. However, at this point, it\u2019s best to stay high-level. This isn\u2019t the time for getting into the nitty gritty.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">\u201cSpecific task assignments are less important than establishing clarity and excitement among the project team,\u201d explains Amanda Kelly in a <\/span><a href=\"https:\/\/www.liquidplanner.com\/blog\/4-tips-for-leading-a-project-kickoff-meeting\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">post for LiquidPlanner<\/span><\/a><span style=\"font-weight: 400;\">. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Remember that your main goals of the meeting are to explain:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">What you\u2019re doing<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Why you\u2019re doing it<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How you\u2019re going to make it happen<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Who the key players are<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">That\u2019s really it\u2014in most cases, those are the four major things that you need to explain so everybody has the necessary context before moving forward with their individual pieces.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">One more note: The \u201cwhy\u201d behind the project is important for everyone involved. Providing that background information allows everyone to get a grasp not only on what\u2019s being done, but why it matters for the whole company. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">When executive leaders state that a lack of clear goals is the <\/span><a href=\"http:\/\/www.pmi.org\/-\/media\/pmi\/documents\/public\/pdf\/learning\/thought-leadership\/pulse\/pulse-of-the-profession-2017.pdf%5C\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">most common factor contributing to project failure<\/span><\/a><span style=\"font-weight: 400;\">, taking the time to make sure everybody sees the forest\u2014and not just the trees\u2014will set you up for a far smoother and more successful project. <\/span><\/p>\n<h3><span style=\"font-weight: 400;\">2. Explain Roles and Basic Responsibilities<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Again, this isn\u2019t a time when you want to get too far into the weeds with specific tasks. However, it\u2019s helpful to explain how each person or team fits into the project so that everybody has an understanding of who\u2019s working on what.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Keep it general by introducing everyone who\u2019s involved in the project and give a very brief explanation of what they\u2019ll be contributing. For example:<\/span><\/p>\n<p><i><span style=\"font-weight: 400;\">\u201cKerry is crafting the copy, Jason is creating the graphics, and Megan is putting together the website wireframe.\u201d<\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">It\u2019s especially helpful if you can tie responsibilities to deliverables for the project, since that often makes more sense to people than roles and tasks themselves. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Taking this time to highlight who\u2019s doing what avoids the common trap of teams being siloed and also ensures that team members know who they should approach with questions or feedback as they\u2019re moving through the project. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Also, it\u2019s important that you reiterate the fact that you\u2019re the point person for this project and that any questions or concerns can be brought to you for resolution. <\/span><\/p>\n<h3><span style=\"font-weight: 400;\">3. Give an Overview of <\/span><i><span style=\"font-weight: 400;\">How<\/span><\/i><span style=\"font-weight: 400;\"> You\u2019ll Accomplish the Work<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">At this point, it\u2019s time to go beyond <\/span><i><span style=\"font-weight: 400;\">what<\/span><\/i><span style=\"font-weight: 400;\"> you\u2019ll be doing and provide a little more information about <\/span><i><span style=\"font-weight: 400;\">how<\/span><\/i><span style=\"font-weight: 400;\"> you\u2019ll get that project done. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Will you be using a certain work management platform or tool to collaborate and communicate about the project? Should everything be stored in a certain Google Drive? Will you be collaborating with any outside vendors or agencies for pieces of the project? <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Of course, some things you may have to figure out as you go along. But, now is a good time to get everybody in the loop on some of the must-know details they should have before starting any work (and while they\u2019re mapping out their own workloads and calendars!). <\/span><\/p>\n<h3><span style=\"font-weight: 400;\">4. Run Through Any Key Dates<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Speaking of calendars, your project kickoff meeting is the time when you should make everybody aware of the anticipated timeline for the project.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Once again, you don\u2019t need to dig into deadlines for individual tasks. However, you do need to give everybody an idea of any key milestones and meetings, as well as when you expect to have the project wrapped up in its entirety.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here\u2019s an example of some of the things you can highlight during your project kickoff meeting:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We\u2019re aiming to have the entire website redesign completed and launched by the end of the first quarter.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We\u2019ll have recurring status update meetings every Thursday. <\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">While this isn\u2019t a lot of detail (and it shouldn\u2019t be!), it does give everybody a rough idea of what they should plan for in terms of the <a class=\"wpil_keyword_link\" title=\"project timeline\" href=\"https:\/\/toggl.com\/blog\/create-project-timeline\" data-wpil-keyword-link=\"linked\">project timeline<\/a>. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">You can get into the details of specific task and deliverable deadlines in meetings and more direct communication with individual teams and members. <\/span><\/p>\n<h3><span style=\"font-weight: 400;\">5. Leave Time for Questions<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Your project kickoff meeting is ultimately designed for you to cover the nuts and bolts of your project so that everybody is operating with the same background information.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">However, this is also a good opportunity to address any early confusion. So, leave some time at the conclusion of your meeting for participants to ask any questions they have.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Encourage people not to get too deep into task or role-specific questions that you could just as easily address outside of that group meeting. Instead, these questions should provide clarity for the entire group\u2014and not just one person or team.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Any questions related to the project goals, process, and timeline, for example, are fair game. But, if the content team starts getting into specifics about copy requirements, remind them that you can address those questions in a separate sit-down\u2014since those answers don\u2019t pertain to everybody. <\/span><\/p>\n<h3><span style=\"font-weight: 400;\">6. Wrap Up With Action Items<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">In order for a meeting to be truly productive, it should end with some clear action items. That way, everybody walks out of that conference room with a clear idea of what exactly they should do next.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">End your meeting by calling attention to specific action items for each team or person that\u2019s involved in the project. For example:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Kerry should get started on the first draft of copy for the website home page and company history page.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Jason and Megan should schedule a meeting to talk through the appearance and user experience of the new site.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">That\u2019s a pretty simple example, but you get the point. Everybody should walk away from that meeting with more than just knowledge\u2014they should walk away with explicit next steps. <\/span><\/p>\n<h3><span style=\"font-weight: 400;\">7. Follow Up With an Email<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">I have news for you: As much as you might want people to take notes in your kickoff meeting, not everybody will (particularly since you aren\u2019t getting into specifics at this point).<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For that reason, it\u2019s smart to follow up with an email recapping what you went over in the meeting as well as the necessary action items.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Not only does that reiterate everything you discussed, but it also gives your project participants something concrete that they can refer back to when they need to. <\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Get Your Project Started Right<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Your project kickoff meeting isn\u2019t a waste of time\u2014it\u2019s a chance to get everybody\u2019s goals and expectations aligned, as well as set the tone for your entire project.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">While a kickoff meeting is designed to mainly cover the basics, that doesn\u2019t mean that hosting one is an easy task. It involves some prior thought and planning to ensure you keep things high-level enough, but still give people the information and next steps that they need.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In order to host a successful kickoff meeting, make sure that you:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Create an agenda, share it with your attendees, and then stick to it<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Touch on basic roles and responsibilities (without getting too specific)<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Give an overview of how you\u2019ll accomplish the work, including any tools or platforms you\u2019ll be using<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Run through a simple timeline and other key dates<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Leave enough time for questions, and encourage people to keep those general<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Wrap up your meeting with clear next steps and action items<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Send a follow-up email so you have written documentation of that meeting<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Finally, also remember that your project kickoff meeting is a time when you can generate enthusiasm about the project. This shouldn\u2019t be a dull, torturous conversation, but instead a sit-down that gets everybody excited about what they\u2019ll be working on together. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Implement these tips and create some excitement and engagement, and you\u2019re sure to get your project started on the right foot.
