You need to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Create the product landing page (4 days)<\/li>\n\n\n\n<li>Write social media content (3 days)<\/li>\n\n\n\n<li>Write and send the email blast (2 days, depending on the landing page)<\/li>\n\n\n\n<li>Schedule social media posts (1 day, depending on writing social media content)<\/li>\n\n\n\n<li>Launch the product campaign (1 day, depending on everything else)<\/li>\n<\/ul>\n\n\n\n<p>In this example, the two chains of dependent tasks are:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Path 1: Create product landing page &gt; email blast &gt; launch campaign (7 days)<\/li>\n\n\n\n<li>Path 2: Write social media content &gt; schedule it &gt; launch campaign (4 days)<\/li>\n<\/ul>\n\n\n\n<p>The critical path is Path 1, as it takes longer to complete than Path 2. This means a delay in any task in Path 1 will delay the whole project. Establish the work you need to do<\/h3>\n\n\n\n<p>A recipe doesn\u2019t just say, \u201cMake stew, you\u2019re done.\u201d It lists out all the steps to create your meal.&nbsp;And so should you. <\/p>\n\n\n\n<p>You\u2019ll need to list every task required to complete your project. Also known as the project discovery phase, this is where you <a href=\"https:\/\/toggl.com\/blog\/starter-guide-project-planning\">scope out the project<\/a> and gather all the info you need to understand every painstaking detail you need to complete.<\/p>\n\n\n\n<p>Once you&#8217;ve fully scoped out your project, you can move on to creating a <a target=\"_blank\" href=\"https:\/\/toggl.com\/blog\/work-breakdown-structure\" rel=\"noreferrer noopener\">work breakdown structure<\/a> (WBS). Apply the right estimate technique<\/h3>\n\n\n\n<p>Earlier, we shared five different estimate techniques. Obviously, you can&#8217;t use all five of them (I mean, you could, but you really don&#8217;t need to).<\/p>\n\n\n\n<p>So, how do you choose the best one for your project? Don\u2019t forget the revision hours<\/h3>\n\n\n\n<p>Once you&#8217;ve done the bulk of the work, it&#8217;s easy to overlook the time spent &#8220;proofreading.&#8221;<\/p>\n\n\n\n<p>Revising tasks takes a considerable amount of time, especially when multiple stakeholders are involved. But the length of this phase varies greatly from industry to industry, tending to especially laborsome in:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Software development<\/li>\n\n\n\n<li>Website bug testing<\/li>\n\n\n\n<li>Graphic design<\/li>\n\n\n\n<li>Tech development<\/li>\n<\/ul>\n\n\n\n<p>Clients tend to get miraculously more thoughtful and decisive when it\u2019s going to cost them extra.<\/p>\n\n\n\n<p>So, how do you know how many revision hours to add?<\/p>\n\n\n\n<p>There\u2019s no easy answer to this \u2014 experience definitely helps, so lean on previous projects and external advice. Essentially this provides a budget of time for your projects. Plan for everything going wrong<\/h3>\n\n\n\n<p>Speaking of contingencies&#8230;.things go wrong. It\u2019s part of life. Adding contingency hours is a good idea, no matter what industry you\u2019re in or what kind of estimation method you chose in step 2.<\/p>\n\n\n\n<p>Contingency planning cushions potential delays, sick days, or an extra last-minute feature. It&#8217;s your best bet against potential risks because it minimizes disruptions. And if nothing actually goes wrong, and you finish early&#8230; well, that&#8217;s the dream!<\/p>\n\n\n\n<p>As with revision estimates, the number of required contingency hours is hard to predict when starting out. It will mainly come down to your own expert judgment and experience. But that&#8217;s where a tool like Toggl Track can build up your expertise much faster. <\/p>\n\n\n\n<p>Just track your current project (you can even label &#8220;contingency time,&#8221; so you know what percent of time was spent off-piste), and use it as a basis for future estimates \u2014 easy peasy!<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">5. Bring all the time estimates together<\/h3>\n\n\n\n<p>y now, you should have a pretty accurate timeline of what needs to happen to deliver the project on time. It\u2019s time to put the pieces together into our first (but not last!) estimate.<\/p>\n\n\n\n<p>You should have something like this \u2014 a table of all individual tasks and their time estimates:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Phase<\/strong><\/td><td><strong>Tasks<\/strong><\/td><td><strong>Hours to complete<\/strong><\/td><\/tr><tr><td>Design<\/td><td>&#8211; Create wireframes (4hrs)<br>&#8211; Create mockups (4hrs)<br>&#8211; Create brand guidelines (8hrs)<\/td><td>16hrs<\/td><\/tr><tr><td>Development<\/td><td>&#8211; Build a WordPress theme (10 hours)<br>&#8211; Build a desktop and mobile version of all pages (20 hours)<\/td><td>30hrs<\/td><\/tr><tr><td>Testing<\/td><td>&#8211; Test functionality of the website (8hours)<br>&#8211; Update\/test plugins (2 hours)<\/td><td>10hrs<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>Next, you\u2019ll need to identify dependencies between tasks and make sure they\u2019re accounted for in your timeline. This step can drastically shorten your estimate.<\/p>\n\n\n\n<p>For example, if designing your website and writing your copy will take 10 hours, that doesn&#8217;t mean your website will take 20 hours to build. If they run in parallel \u2014 with the right resource allocation (i.e., two workers) \u2014 you can get it done in half the time because they&#8217;re not dependent on each other.<\/p>\n\n\n\n<p>Once you understand the dependencies, you know how to allocate resources and team members without overworking them. You can also anticipate when you need them and how best to place them for optimum success and cost efficiency.<\/p>\n\n\n\n<p>For example, you might need five developers working simultaneously, but only for three out of the 12 weeks of the project.
