How Launch Web Design uses Toggl 2.0 to stop guessing at contractor hours

About

Launch Web Design is a web design and marketing agency based in Australia. Founder Thomas Unsworth works with a team of freelance contractors, overseeing client projects, design and build work, and client support.

Results with Toggl 2.0

  • Replaced twice-a-year spreadsheet estimates with real, day-to-day visibility into where time actually goes
  • Uses task estimates and project budgets as a live check when quoting future client work
  • Can now see exactly where contractors' 10–15 hour work blocks actually went, instead of paying on trust alone
  • Contractors were tracking time within minutes of onboarding — no confusion, no back-and-forth questions

I'd rather pay for individual tools that are really good at what they do than all-in-ones that do everything badly. With those, time tracking feels like an afterthought.

Challenges

Before Toggl 2.0, Thomas ran his agency on pricing spreadsheets he'd update every six months or so — logging time daily would have taken too much effort, so the numbers were always a rough, backward-looking guess rather than something he could trust in the moment. Contractor payments ran the same way, on trust and verbal estimates: he'd ask a contractor how long a job would take, they'd say "10 hours," and he'd pay for 10 hours, with no way to verify it either way.

That worked, mostly — he trusts his contractors — but it left him without the two things an agency owner actually needs to run a healthy business: accurate pricing, and a read on his own capacity.

"I didn't have clarity over where my resources were going or how long I was spending on things — which makes pricing hard. The bigger challenge is capacity: how booked am I, how much work do I have, when's my next availability. Time tracking is really handy for that." — Thomas Unsworth

Solution

Thomas isn't new to Toggl — he used the original product roughly five years ago, then drifted away, tried a freelancer CRM called Moxie that didn't fit, and came back to Toggl when he needed dedicated time tracking again. What brought him to Toggl 2.0 was the same thing that brought him to Toggl the first time: it's fast to adopt and it doesn't get in the way.

Design that earns daily use

Before any of the practical reasons, Thomas points to design: the product simply looks and feels good to use. For a tool he opens every day, that's not a minor detail — it's one of the first things that won him over.

"I'm a very visual person, and I'm drawn towards visually appealing software. I have to stare at it every day, so I want it to be nice to use." — Thomas Unsworth

Owning a business isn't just about being chill — it's about knowing where your time's going.

Contractors who don't need onboarding

The bar for an agency's tools is simple: does the team actually use it? Thomas's contractors picked up Toggl 2.0 in a couple of minutes, with none of the back-and-forth he'd had with other tools.

"My contractors were able to pick it up in a couple of minutes and they were fine. I've used tools in the past where they'd always email me with questions and struggle — with Toggl it just works. It's not a hassle." — Thomas Unsworth

Verifying hours instead of guessing them

With tasks, time estimates, and project budgets, Thomas moved from taking a contractor's word for how long something would take to actually seeing it. That gives him a live check on pricing — and an early warning if a project's about to eat more hours than he quoted for.

Built for people too busy to run a heavy-duty project management tool

Thomas appreciates Asana for managing projects, but it doesn't fully address what he's trying to achieve: organizing, tracking, understanding, and improving how his agency spends its time.

"Toggl keeps you focused on just using it as a tool. With other tools, you waste so much time because you want to build things out — Toggl just keeps you focused." — Thomas Unsworth

Who he'd recommend Toggl 2.0 to

"Owning a business isn't just about being chill — it's about knowing where your time's going." — Thomas Unsworth

Asked who he'd recommend Toggl 2.0 to, Thomas didn't hesitate: businesses and entrepreneurs who need something easy to adopt that won't eat the time it's supposed to be tracking.

"It's easy to use, it's not distracting, and the free plan is really generous and accessible — that's really good for small businesses like mine." — Thomas Unsworth
