Introduction

At Toggl, we believe your data should always be accessible, portable, and under your control. As part of our ongoing commitment to transparency and user rights, we’ve introduced a new EU Data Act Addendum that explains how we support data portability, switching between providers, and secure data deletion — in full alignment with the EU Data Act (Regulation (EU) 2023/2854).

This new Addendum now forms part of your Agreement with Toggl and ensures that your data remains yours at every stage of your relationship with us.

What is the EU Data Act?

The EU Data Act is a major regulation designed to create a fairer, more open data economy across Europe. It strengthens users’ rights to access and reuse the data generated by the products and digital services they use — and it sets clear rules for how companies must support data portability and switching to other service providers.

In practice, the Data Act ensures:

  • You can access and export your data in usable, machine-readable formats
  • You can switch providers without being locked in
  • Companies must support transparent, timely data transfers
  • Your data must be deleted securely once you’ve moved on

Our new Addendum outlines exactly how Toggl meets these obligations.

What the EU Data Act Addendum means for Toggl customers

1. Clear rights when switching providers

If you ever choose to move from Toggl to another service — or to your own on-premises systems — we make the process structured, predictable, and we support you throughout.

You can:

  • Switch to another provider
  • Migrate to your own internal systems
  • Request deletion of your exportable data

You simply notify us one month in advance, and we maintain service during a transitional period to ensure continuity while you complete the migration. The transitional period may be extended in certain cases.

2. Seamless data portability

We provide access to all exportable data relevant to your account or organization in commonly used, machine-readable formats such as CSV and JSON.

This includes (depending on the Toggl product):

  • Tasks
  • Projects
  • Time entries
  • User profiles
  • Tags, clients, groups, settings
  • Reports
  • Invoices, expenses (Toggl Work)
  • And more, as outlined in our Service Data Registry

We exclude only internal system logs, security metadata, or proprietary information that cannot be transferred — but never in a way that prevents or delays your migration.

3. A defined retrieval and deletion process

After the transitional period ends, you will always have at least 30 days to download your data.

Once retrieval is complete, we permanently and securely delete:

  • Your exportable data
  • Your digital assets

…unless you request otherwise or law requires retention.

4. No switching fees

We do not charge any fees for switching providers in normal scenarios.

Service Plan fees continue to apply only for the period during which the Service remains active to support your migration.

What we ask from customers

To ensure a smooth transition, customers:

  • Are responsible for importing their exported data into any new system
  • Must initiate export and switching requests through authorized administrators
  • Should notify us once migration is complete

If we don’t receive confirmation, we assume completion after the retrieval window ends.
