  • Identify key deliverables: Deliverables are the significant outcomes you aim to achieve with your project,  so have a clear list. 
  • Outline exclusions: Clearly state what falls outside the project’s boundaries. This helps prevent scope creep, delays, and budget overruns. 
  • Get stakeholder agreement: To avoid misunderstandings, all stakeholders must agree on the project’s scope. 

2. Create the project’s timeline

With the project scope clearly defined, set key milestones, deadlines, estimates, and an overall project timeline. 

A few useful questions to ask at this point are:

  • What are the key milestones for this project?
  • What are the high-priority tasks of this project?
  • How long will each task take to complete?
  • What dependencies exist between tasks?
  • What resources are available and when?
  • How can we address potential risks and delays?

The answers will help you break down the project into smaller tasks.

  • Start with a Work Breakdown Structure (WBS): Use a WBS to split the project into smaller parts.
  • Identify task requirements: Determine what completing each task involves, including resources, information, and time. 
  • Define what success looks like for each task:  Define success for each task by setting clear, measurable outcomes that align with the overall project goals.
  • Prioritize tasks: Outline which deliverables are most important to help your team stay focused. 
  • Set milestones: Create daily, weekly, or monthly milestones to keep deadlines on track. The structure will depend on the size of your project. 
  • Review and adjust: Review your task list regularly to spot any changes you may need to make. 

This seems like a lot of work, but creating your project timeline is simple with a tool like Toggl Plan. 

Start by creating your project:

  1. Click on the ‘+’ sign next to the Projects section on the left side of the screen, as shown below.

Then,  create tasks to break down your project into smaller components. 

  • On the top right of the screen, click on New Task.

For a clear and complete project timeline, you need milestones. Do this in Toggl Plan: 

  1. Click on the date at the top of your timeline.
  2. Add your milestone details in the popup window that opens.

Step 2: Keep track of your project

Keeping a close eye on your project’s progress helps you meet deadlines and budgets. It’s also key to hitting every project goal.  

Inside Toggl Track, you can manage two critical aspects of project tracking: time spent on tasks and project costs. 

To track task time in Toggl Track:

  1. Open the project you want to break down into tasks. Click on the “Tasks” tab

Click on “+ Add task” to create new tasks, and then click on “Save”

  1. To track time, type in the task name when creating time entries and select your task. Then, click on the pink “play” icon.

Tracking project expenses and profitability using spreadsheets can be inefficient and time-consuming.

  1. When creating your new project, go to “task-based estimate” and add the estimated project cost.

  1. Then, add hourly labor costs for each team member who works on the project. 

To do this, open your project from the Projects page, click the “Team” tab, and add labor costs under the “COST” Column.

When your team members start tracking time spent on the project, you can access the Project Dashboard to monitor project costs.
