Challenges

Netguru provides everything from ideation and design to software development. Although the agency builds solutions for customers, it bills based on time and materials used in the majority of projects. However, to bill clients like this, it needed to track time accurately on every project.

Pavel Averin is the Revenue Operations Manager at Netguru. He says the agency had very specific needs for its time tracking approach, so the system needed to work seamlessly with existing workflows.

“For example, Salesforce is the center of our data ecosystem, and most of the tools we use across the whole company are integrated with it.”

As the agency already used Jira, it tested out its internal time tracking tool — but ultimately rejected it. It then created a custom in-house time management solution to fit its needs. It was also quickly rejected after it became clear how much maintenance would cost.

The search began for a time tracking system with seamless integrations, a sleek UI to encourage team adoption, and most importantly — a place to manage billing data accurately.

The flexible API powers integrations with Netguru’s existing tech stack, like Salesforce, to enable automated project creation and time logging. This integration allowed Netguru to synchronize projects and client information, giving project managers needed analytical capabilities.

Toggl Track can be used on various platforms, including desktop and mobile apps or browser extensions. This paired with its intuitive UI has helped boost usage and adoption within Netguru’s team. As Averin says — if there’s a need to track time, there are several ways to do it.

Although Netguru started using Toggl Track, the team quickly discovered time tracking data could help with much more than billing. As a result, Netguru is able to determine the number of hours to bill each client and can accurately predict short-term revenue. Alicja El Chalouhi, Netguru’s Financial Planning & Analysis Manager, mentioned that the data is sufficiently detailed to improve margin calculations for profitability.

"We can identify areas where we're performing well and where there's room for improvement. In some cases, we realized we needed to approach clients to renegotiate pricing or assess which projects yield strong margins despite certain inefficiencies."

Toggl Track has fully integrated into Netguru's operations to help with everything from billing and forecasting to overtime management. This data acts as a single source of truth to build automated reports to identify and manage time spent on a project.

"As a remote company, Toggl Track data is our sole resource for tracking time spent on a project and responding accordingly. If we notice someone working overtime, it's a clear signal for our leaders to step in and address work-life balance. Additionally, we can identify projects where hours aren't being logged as expected, which helps us recognize potential delivery issues," says Averin.

For Netguru, one of the greatest benefits of using Toggl Track is building transparent relationships with clients. Pavel says some clients expect precise data on how many hours are spent on project work each day. Thanks to Toggl Track, Netguru can instantly provide it.
