What is a time duration calculator?
A time duration calculator finds the elapsed time between two points in time — either within a single day or across multiple days. The result can be expressed in hours and minutes, in seconds, or as a decimal number for payroll and billing use.
Time duration calculations appear across most professional contexts. Hourly employees and their employers use them for timesheet completion. Freelancers use them for client billing. Project managers use them to track task durations against estimates. The core arithmetic is simple, but getting it right consistently across midnight, across days, and with break deductions is where an online calculator saves time and prevents errors.
How to calculate time duration manually
- Step 1: Convert both times to 24-hour format if using 12h AM/PM
- Step 2: Multiply hours by 60 and add minutes to convert to total minutes
- Step 3: Subtract start from end. If the result is negative, add 1,440 (overnight shift)
- Step 4: Subtract any break duration in minutes
- Step 5: Divide by 60 for whole hours; use the remainder for minutes
Example: 9:00 AM start, 5:45 PM end, 45-minute break. Total span = 525 minutes. Net after break = 480 minutes = 8 hours exactly.

Date and time duration
The Date & Time Duration tab handles multi-day spans. It shows the total gap in days, hours, and minutes — and counts workdays (Mon–Fri) separately. It covers project deadlines, contract length calculations, sprint planning, and any scenario that requires a day count between two dates. The calculator accounts for month lengths and leap years automatically.
Add and subtract time
The Add / Subtract tab starts from a fixed time and applies a duration to find the resulting time. For example, a meeting starting at 14:30 that runs 1 hour 45 minutes ends at 16:15. The calculator handles midnight crossover automatically, so 23:00 + 2 hours = 01:00 the next day.

Time formats, time zones, and decimal conversion
12-hour vs 24-hour (military) time
The 12-hour format uses AM and PM to distinguish morning and afternoon hours, with 12 o'clock cycling twice per day. The 24-hour time format runs from 00:00 to 23:59, eliminating any ambiguity. To convert a PM time to 24-hour, add 12 — so 3:30 PM becomes 15:30. Midnight is 00:00; noon is 12:00. The 24-hour format is standard in healthcare, military, aviation, and most non-US countries.
UTC and time zones
UTC (Coordinated Universal Time) is the global time reference point against which all time zones are offset. If a meeting is at 14:00 UTC and you are in UTC+5, your local time is 19:00. For duration calculations within a single time zone, UTC offset is irrelevant — only the local times matter. Duration calculations across different time zones, or those that involve daylight saving time transitions, require converting both times to UTC first before subtracting.

Time duration in timesheets and payroll
Paper and spreadsheet timesheets use time duration in one of two ways. The first is hh:mm format, where hours and minutes are recorded separately — clean to read, but requiring special cell formatting in Excel to prevent it treating 8:30 as a time-of-day rather than a duration. The second is decimal format, which avoids this problem entirely: 8.5 hours in a cell formatted as a number multiplies cleanly against an hourly rate.
The approach most payroll processors expect depends on the software. QuickBooks, Gusto, and most HRIS platforms accept decimal hours in CSV imports. If you export from this calculator and import into a payroll tool, use the decimal hours column.
Time duration in project management
Project managers use duration to track task completion against estimates, calculate sprint velocity, and forecast deadlines. Duration in project management usually refers to elapsed calendar time (including weekends) unless specified as "working days." The Date & Time Duration mode in this calculator offers a workdays toggle to distinguish between the two.
Elapsed time also matters for billing in time-and-materials contracts. Clients are billed for net work time, which is total duration minus breaks and non-billable periods. That is precisely what the break deduction field in the Time Duration mode calculates.
Leap years and month boundaries
Leap years occur every four years, adding a 29th day to February. Any date range spanning late February in a leap year will have one extra day compared to the same range in a non-leap year. The Date & Time Duration calculator accounts for this automatically. The difference between January 1 and March 1, for example, is 59 days in standard years and 60 days in leap years.
